1. Preamble
The present GTC and the quotation established by the HOTEL constitute the contract binding the CLIENT and the HOTEL. The booking of an event becomes final between the HOTEL and the CLIENT only when: The CLIENT has returned to the HOTEL by mail these General Terms and Conditions preceded by the quotation prepared by the HOTEL, duly dated, initialed, signed, sealed and bearing the word "good for agreement".
Any reservation therefore implies that the CLIENT fully and unconditionally adheres to these conditions and the specifications that accompany them, with the exception of any other document, such as a prospectus, commercial documents, etc. The HOTEL reserves the right to cancel the event as long as the contract and the deposit have not been sent to it.
2- Organization of the event
Hosting:
The rooms provided are made available to the beneficiaries from 3 pm on the day of arrival. Rooms must be vacated no later than noon on the day of departure. Any exceeding of this period may result in the billing of an additional night at the published public rate. In the event of unavailability of the HOTEL’s rooms, or in case of force majeure, the latter reserves the right to have all or part of the participants stay in a nearby hotel of equivalent or higher category for services of the same nature, the costs inherent in the transfer or upgrade to be paid by the HOTEL, which cannot be sought in payment of any compensation.
Food & Beverage:
The Customer must specify in writing addressed to the Hotel the exact number of covers provided for each meal between 3 and 7 working days before the event start date (Saturday and Sunday not included). The Customer may not bring from the outside any drink or any foodstuff, unless prior agreement. It is specified here that the F&B not consumed within the scope of a fixed price cannot lead to a reduction of the price.
Modification:
The Client must inform the Hotel before the arrival date, in case of changes in the number of participants in the event.
If the Customer wishes to increase the number of participants in the event or to extend the duration of the contract, the Hotel will do its utmost to satisfy the Customer but cannot be held responsible it cannot provide additional benefits.
In any case, any request to modify the services in relation to the accepted quote must be sent in writing to the Hotel. If the hotel cannot accept the modification, the contract is deemed to continue under the terms and conditions determined in the accepted quote.
Seminar room / lounges
In any case if the number of participants was lower than the number provided in the quote, the Hotel reserves the right to modify the lounges / seminar rooms reserved by the client. This modification of available premises cannot give right to the payment of any compensation. It is strictly forbidden to drive nails, thumbtacks, staples or stick adhesives on doors and walls. The lounges are rented for the day from 8:00 to 18:00 or half-day from 8:00 to 12:00 or 13:00 to 18:00. The customer is responsible for all the damage caused by his / her intermediary (in particular by the participants or their guests), and undertakes, in case of deterioration of the places made available, to bear the costs of restoration of these places. The Customer will inform the Hotel of any delivery of equipment. The Customer is required to withdraw his own equipment at the end of the event.
3. Insurance
The CLIENT will be held responsible for any damage caused by himself, participants or guests of the event and any disappearance found in the facilities and equipment of the Hotel, as well as damage to the person and to the property of other customers.
The HOTEL declines any responsibility for the damage of any nature whatsoever (theft, degradation, fire ...) affecting the goods of any kind brought by the CLIENT or the participants, whatever the place where the goods are stored.
The CLIENT must therefore ensure the custody of his goods and materials brought by him or the participants.
4. Cancellation
The HOTEL reserves the right to cancel all or part of the group if the terms of payment are not respected.
Upon signature, this contract will no longer be voidable.
The exact number of participants must be confirmed in writing definitively 72 hours before the event. This number will serve as a basis for billing.
For any total or partial cancellation (decrease in the number of participants or the duration of the event), the Customer is liable for a cancellation fee representing a percentage of the estimated turnover. This percentage varies depending on the number of rooms canceled and the date of cancellation according to the grid below:

5. Billing
The price charged by the HOTEL to the CLIENT is the one agreed upon on the day of the conclusion of the contract plus the cost of additional services not initially provided for services modified at the request of the CLIENT, or an increase in the number of participants present. In all cases the final billing will not be lower than the quote established at the signing of the contract.
The CLIENT will inform the HOTEL of the billing address and the name of the person in charge of the payment.
The proposed rates may be modified if the dates of stay, the number of nights or the number of rooms change. Rates do not change if the stay is extended before or after the agreed dates.
Rates may be modified in the event of a legislative and / or regulatory change, which may lead to price variations such as: modification of the applicable VAT rate, introduction of new taxes, etc.
Payment Terms:
- the payment of a deposit of 50% at the signature,
- a payment of 20% 60 days before the event,
- the balance of 30% be paid within 30 days after the event.
6. Regulation
All extras (mini bar, laundry etc ...) or other services requested by participants in addition to the services included in the estimate, must be paid by them on the spot before their departure. In case of non-payment, these services will be billed to the CLIENT who is jointly responsible for their payment.
Our invoices are payable upon receipt. In the absence of payment within 10 days after receipt of the invoice, the CLIENT is liable for the payment of late payment interest calculated on the basis of the legal rate in force plus 2 points.
In case of disagreement on a part of the invoice, the CLIENT is obliged to pay without delay the undisputed part, and to indicate in writing to the HOTEL, the reason for the contestation.
7. Claims and Litigation
The CLIENT must send to the HOTEL by registered letter with acknowledgment of receipt any protest or complaint within 8 days after the departure of the participants. After this period, no claim can be satisfied.
Any dispute or dispute arising from the interpretation or performance of the contract will be the exclusive jurisdiction of the Courts.
8. Recommendation
The CLIENT undertakes not to invite any person whose behavior is likely to harm the establishment, the latter reserving the right to intervene if necessary.
The CLIENT will take care to ensure that the participants and their guests respect all the instructions and regulations of the HOTEL (including the prohibition of smoking in the premises for collective use) The CLIENT will ensure that participants do not disturb the operation of the HOTEL and do not affect the safety of the HOTEL and the people therein.
